The Monthly Securities Registration Report is a periodic report that Listed Companies must submit, through a Securities Administration Bureau (“BAE”), to Indonesia Stock Exchange (“IDX”) as part of their capital market reporting obligations. It sets out the Company’s share ownership structure as at the end of the reporting period, covering shareholder data, ownership composition, Free Float Shares, Beneficial Owner information, and any other information required under the Exchange’s provisions.
Under Board of Directors Decree of IDX No. Kep-00052/BEI/04-2026 dated 1 April 2026, on Amendments to the Provisions on Monthly Reports of Share Ownership Registration Activities, Listed Companies must submit the Monthly Securities Registration Report through a BAE no later than the 10th day of the month following the end of the reporting period. Timely submission is therefore a key part of meeting disclosure obligations and complying with the Exchange’s requirements.
To streamline the reporting process, Form E009 is divided into several sections, which must be completed in order. Each section serves a distinct purpose and follows its own completion requirements, depending on the type of information involved. Guidance for each section is set out below:
1. General Information
In the General Information section, users must provide the report’s basic details, including:
- Reporting letter number
- Type of Monthly Securities Registration Report letter
- Reporting period (by month)
- Securities Administration Bureau (BAE)
- Company status regarding the use of the Shareholder Registry System (SDHSM)
2. Share Ownership Data of the Board of Directors, Board of Commissioners, and Shareholders Holding 5% or More
This section captures share ownership data for:
- Board of Directors
- Board of Commissioners
- Shareholders holding 5% or more of the Company’s shares
Please note the following requirements:
- If a shareholder’s Single Investor Identification (SID) status is marked “Available”, the SID number is mandatory.
- Only one status may be selected between Controller and Controller Affiliate.
- Before submitting the form, ensure the total number of shares and ownership percentages equal 100%.
3. Shareholders Holding Less Than 5% Who Are Controller Affiliates
Shareholders holding less than 5% who qualify as Controller Affiliates must be reported using the Excel template provided.
Steps:
- Upload the completed Excel file.
- Click Process to import the data.
Figures reported in this section are excluded from the overall share ownership totals and ownership percentages.
4. Number of Shares by Investor Type and Classification
Click Calculate to generate the number of shares by investor type and classification.
The information is sourced from Indonesia Central Securities Depository (KSEI), except for employee share ownership, which each company reports independently through self-assessment.
The form cannot be submitted until KSEI data for the relevant reporting period is available in the system.
5. Free Float Shares Information
Complete the Free Float Shares Information section by providing details of:
- Scripless shares under Lock-up.
- Shares held by venture capital or private equity firms with ownership below 5%.
- Shares seized or blocked by Law Enforcement Authorities or other Competent Authorities.
Click Calculate once all information has been entered.
6. Number of Unlisted Shares
The number of Unlisted Shares is calculated automatically as the difference between Total Shares and Listed Shares.
If the Company has no shares under an additional category required by the applicable regulations, enter 0 in the relevant field.
7. Number of Shareholders Holding an SID
Enter the number of shareholders holding a Single Investor Identification (SID). The system will automatically calculate any changes based on the figures provided.
8. Beneficial Owner Data
Provide the following information:
- The beneficial owner’s full name.
- Whether the beneficial owner is also a direct shareholder of the Company by selecting Yes or No.
9. Beneficial Owner of Shareholders Holding More Than 10%
After the process is completed:
- The shareholder’s name will be populated automatically.
- Enter the direct shareholder’s name.
- Enter the corresponding ownership percentage.
